These policies ensure fairness, consistency, and safety across all programs and services. They apply equally at both the Richmond and Cypress locations. All members and guests are expected to adhere to the rules outlined below.
1. Definitions
Membership
Any recurring plan billed on a cycle (e.g., monthly), including recurring training packages and recurring open play passes. Court blocking is not considered a membership.
Package
A one-time purchase of a limited number of classes or passes, with an expiration date.
Hold
A temporary pause of an active membership, subject to Section 2.2.
Cancellation
Formal termination via the cancellation form, subject to advance-notice rules in Section 2.1.
Court Booking
A one-time reservation of a specific court for a specific day and time (Section 4.1).
Court Blocking
A recurring court reservation on a fixed schedule (Section 4.2).
Open Play
A designated time session during which players may play on available courts without a private booking (Section 5).
2. Billing & Attendance Policies
2.1 Cancellations
- All cancellations require a signed cancellation form. Members may text Farinha for help retrieving the form
- The form must be submitted at least 30 days before the next billing date
- If submitted within 30 days of the next billing, cancellation will be scheduled 30 days from the signed form date. Any payments processed in the interim will be adjusted as needed
- Once approved, billing stops at the end of the required cycle
2.2 Holds
- Memberships may be placed on hold up to two times per calendar year
- Each hold may last up to three months, except during the Summer semester
- Summer semester (May–August): holds may be any length (no three-month maximum)
- After a hold ends, the membership must remain active for at least one additional billing cycle before a cancellation is eligible
- The Academy may adjust billing to reflect hold periods
2.3 No-Shows, Refunds, and Credits
- 24-hour notice required: Any cancellation or schedule change for classes, court bookings/blocking, or open play must be texted to Farinha at +1 (346) 632-4693 at least 24 hours in advance. Requests with less than 24 hours’ notice are treated as no-shows unless an exception is granted
- No-shows: Failure to attend a reserved or scheduled session without notice forfeits the session. No makeup, credit, or refund will be provided
- Refunds: Available if requested at least two (2) days before the program start date. A 10% administrative fee applies
- Credits: May be issued in full if requested before the program start date
- Discretionary exceptions: In rare circumstances (such as sudden illness or injury), the Academy may approve exceptions at its sole discretion. Such exceptions are not guaranteed and are evaluated on a case-by-case basis
3. Training Policies
3.1 General Rules
- One-time packages must be used within the validity period set at purchase. Expired sessions cannot be extended or refunded
- Recurring memberships renew automatically each cycle unless cancelled per Section 2.1
3.2 Attendance-Based Duration Adjustments
Session duration may be shortened if fewer students attend, to maintain training quality and respect the coach’s availability.

3.3 Makeups
Makeup eligibility is governed by the no-show, refund, and credit policies in Section 2.3.
4. Court Reservation Policies
4.1 Court Booking
- Court bookings are one-time reservations for a specific day and time
- Cancellation or rescheduling is subject to staff approval and court availability, and must follow the 24-hour notice rule
4.2 Court Blocking
- A recurring reservation of a specific court on a fixed schedule
- Only one cancellation per month is allowed
- Sessions may be rescheduled as needed with advance notice (see 24-hour rule), subject to availability
5. Open Play Policies
- Open play is primarily offered at the Cypress location and may be accessed with single passes, bulk passes, limited-duration unlimited passes, or recurring unlimited memberships
- All recurring open play plans are treated as policies in Section 2
- Entry is valid only during designated open play hours
- Passes and memberships are non-transferable, non-refundable, and non-extendable. Please purchase the amount you can finish on time
6. Facility Rules & Guidelines
- Proper non-marking indoor court shoes are required at all times
- No food or drink on courts, except water in sealed containers
- Respect staff, coaches, and other members. Unsportsmanlike conduct may result in suspension
- Guests must check in at the front desk before entering the courts
7. Racket Stringing Services
- The Academy reserves the right to refuse service or adjust pricing at its discretion
- Pricing varies based on string type and timing (drop-off vs. pick-up)
- The Academy is not liable for racket damage. Any compensation will be at the Academy’s discretion
8. Compliance and Enforcement
Failure to comply with these policies may result in warnings, suspension, or termination of membership or facility access at the Academy’s discretion. The Academy may update or amend policies at any time. Updates will be communicated via official channels and take effect immediately.
Closures: In the event of Academy closures (e.g., weather, utility outages, or government orders), affected sessions will be eligible for makeup classes.
Waiver: All participants must have a current signed waiver on file before participating in any Academy activity.
Policy Hierarchy: If there is a conflict between these Policies & Procedures and any marketing materials, promotions, or verbal assurances, the terms of this document control.
